Brief description of HIH:

Hand in Hand for Aid and Development (HIHFAD), previously operating as Hand in Hand for Syria, was established as a UK registered charity soon after the start of the Syrian crisis in 2011 by a group of British Syrians in order to deliver humanitarian assistance to civilians impacted by the conflict in Syria. From humble beginnings the charity has grown to become one of the leading humanitarian actors serving Syrian communities both inside Syria and in neighbouring countries, employing over 900 staff in Syria, Turkey and the UK. As the organization grows, it now handles multiple institutional donors such as UN, ECHO, International NGOs and bilateral governmental agencies.

Job Responsibilities:

  • To make sure that all logistic operations performed by the organization are in accordance with the special policies and procedures of HIHFS, partner organizations and donors.
  • Supervising customs clearance processes of shipments and liaise with government about cross-border procedures.
  • Purchases the supplies, equipment and goods according to the organization’s rules and regulations and Prepare all the required documents and paper work related to it.
  • Closely work with Logistic Coordinator to implement the agreed procurement and logistics work plan and strategies within the projected time frames and available budget,
  • Support the Logistics Coordinator in compiling and timely submitting all the relevant reporting of the logistics department to the organization’s management, donors and relevant parties,
  • Maintain continuous search for reliable and eligible suppliers, sellers, service providers and contractors to execute the programs policies and procedures of HIHFS, partner organizations and donors.
  • Negotiating with suppliers, sellers, service providers and contractors in order to obtain the best regarding quality, prices, time required, delivery terms ..etc. and makes sure the deliveries are processed in an adequate and timely manner,
  • Cooperation with the management of warehouses to ensure that all the necessary procedures of storing materials are implemented.
  • Maintain accurate records of procurement documents, stocks, in-kind donations, assets, assets tagging and equipment,
  • Coordinate with Finance team to ensure the timely payment of vendors,
  • Participate in Preparing and writing tender’s documents, ensure publishing, and follow up all tenders’ procedures.
  • Participation in supervising on the movement of HIHFS vehicles and reviewing the daily journey management of these cars and vehicles.
  • Perform any other duties as assigned by Supervisor in accordance with the nature of his work.

Knowledge and Qualifications:

  • University degree in any related field.
  • At least 2 years’ experience in logistic/procurement field.
  • Fluency in spoken and written English and Turkish required.
  • Procurement and import/export experience.
  • Ability to meet deadlines, performing duties on time and possessing time management skills.
  • Ability to work under pressure, making decisions in urgent situations and problem-solving skills.
  • Having good conduct and manners.
  • Advanced skills in Office package and computer skills.
