Job Summary:

The Finance & Administrative Assistant will provide finance, procurement services and general administrative support in order to ensure effective and efficient operations.

Accountabilities:

Procurement roles
• Supports Procurement & Administrative Officer in the documentation and filing of procurements to ensure files are kept up to date
• Ensure goods received are matched with purchase orders (POs), ensure all GRNs (goods received notes) are signed
• Receive invoices from suppliers, attach to relevant procurement documentation and submit to finance for payment.
• Receive and process invoices from suppliers and ensure costs are allocated to the relevant projects.
• Assist with all other office procurements in accordance with set regulations
• Perform other duties as assigned by the supervisor.

Admin Roles
• Assist in the coordination of workshops; cash disbursements and expenditure reconciliation.

Finance Roles
• Ensure that packets are complete and accurate as received from procurement
• Prepare the A/P (account payable) templates for invoice capturing
• Share the Proof of payments with vendors upon payment processing
• Collect receipts for payments issued to vendors at time of payment
• Assist with filing of payment vouchers immediately after payment and safe keeping of files.
• Assist with ensuring E-filing of weekly transaction documents

  • Works on problems that are moderate in scope and require judgment in resolving or making recommendations.
  • Exercises judgment within defined policies and procedures to obtain solutions and perform duties.
  • Decisions made generally affect own job or specific functional area.

    Supervision Given/Received:

    • Has no supervisory responsibility.
    • Receives instructions on new assignments.
    • Typically reports to a Manager.

      Education:

      • Bachelor’s degree in accounting / Finance or AAT / Business Administration or related field

        Experience:

        • Typically requires 0-2 years of accounting experience.
        • Articulate, professional and able to communicate in a clear, positive manner with client and staff.
        • Must be able to read, write and speak fluent English.
        • Prior experience in a non-governmental organization (NGO) preferred.

          Typical Physical Demands:

          • Typical office environment.
          • Ability to spend long hours looking at computer screen and doing repetitive work on a keyboard.
          • Ability to sit and stand for extended periods of time.
          • Ability to lift/move up to 5 lbs.

            Technology to be Used:

            • Personal Computer/Laptop, Microsoft applications (i.e., Office 365, SharePoint, Skype/Zoom/Teams), cell phone/mobile technology, and standard office equipment.

              Travel Requirements:

              • Less than 10%
