Context

In line with the global GICHD strategy 2019-2022, the GICHD is strengthening its resource mobilisation capacity with a new division created in 2020 which centralises and coordinates donor relations management, fundraising efforts, grant management, communications and public relations. The role of the donor reporting coordinator is key in providing high-quality funding requests and reports to our donors. The donor reporting coordinator supports GICHD resource mobilisation efforts through the drafting of high-quality project proposals, concept notes and reporting, as well as other written donor related materials and other publications as required.

Under the direction of the Head of Grants Management & Communication, the incumbent works collaboratively with the Grants Management Officer and Grant Management Associate, the technical advisors, the Communication team and the Financial section. He/she provides support to the Heads of Division, project managers of the various operational divisions as well as the Results Based Management team, to allow them to provide quality information for proposals and reports. He/she supports the reporting with respect to the GICHD donor grants and contracts in line with GICHD’s strategy and internal process and in line with the donor contractual requirements.

Traditionally Switzerland has been a key supporter of the GICHD; in line with the Strategy 2019-2021 the GICHD has been growing and in 2020 its annual budget is around 20 million CHF. The GICHD is supported by approximately 20 donors, mainly governmental agencies in the field of mine action and ammunition management, but also other type of institutional donors, multi-lateral agencies, foundations and non-governmental organisations. The donor reporting coordinator will support the development of funding requests and ensure that written communication to these donors is coordinated and of high-quality.

Main Responsibilities

· Drafting of high-quality funding proposals that reflect the work and the values of the GICHD and cultivate the interest and confidence of new and existing donors.

· Manage the decision-making process for developing a funding request (‘Go-No-Go Decision’) in close collaboration with the Head of Grant Management and Communications;

· Prepare and develop templates for funding requests; support the drafting committee in the development of the proposals and ensure that written contributions are received in a timely manner;

· Monitor the reporting schedule, established by the Grant Management Officer, and ensure that inputs from the relevant divisions are received in a timely manner;

· Prepare reporting templates according to donor requirements to be shared for inputs with relevant heads of division and project managers;

· Work with the relevant heads of division, project managers to prepare narrative reports to donors, carry out the quality control of those documents, thereby ensuring the smooth preparation and completion of the various donor reports;

· Edit the narrative inputs from the relevant heads of divisions and project managers;

· Support the Grant Management Officer in the management of donor risk assessment, and in particular with regards to the narrative requirements;

· Monitor the communication with donors in case of amendments to the grant agreement, in close collaboration with the Grant Management team;

· Coordinate the donor seminar and its associated components, with support of the Grant Management Associate;

· Contribute to identify the funding needs of the GICHD projects, in line with the GICHD Strategy, together with the Grant Management team and other Divisions;

· Support the Head of Division with the development of relevant processes and procedures to ensure smooth grant management systems are in place;

· Contribute to the quarterly review and update of the grant management procedures and associated documents

Other

· Edit and control the quality of the GICHD publication and articles, in close collaboration with the Communication Officer, as required;

· Provide input into the annual operating plans and results-based project management systems;

· Manage all projects and activities in line with the Results-based Management processes;

· Carry out work in a gender and diversity-sensitive manner and monitor that gender and diversity considerations are mainstreamed in the GICHD communications;

· Other relevant tasks as assigned or approved by the Head, Grants Management & Communication.

Operating Network (key external contacts):

· Representatives in charge of donations/partnerships in governmental donor organizations and other donors and partners;

Profile Requirements

· Minimum of 5 years’ experience in managing donor relations and reporting

· In-depth knowledge of developing funding requests for institutional donors, preferably in the field of mine action;

· Preferred knowledge of the Mine Action and Ammunition management sectors

· Ability to provide technical advice and information in area of expertise;

· Ability to prepare multiple funding application forms and writing detailed and compelling proposals;

· Excellent written narrative and communications skills, specifically in English language. French is desirable.

· Understanding of donor relations at working/operational level with public and/or private donors for INGOs, NGOs, Foundations or large international entities.

· Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse organisation;

· Analytical skill set and ability;

· Good knowledge of Project management;

· Ability to respect and promote gender equality and the inclusion of diversity in communication material
