Biovision Africa Trust (BvAT) is a not-for-profit organization established in Kenya in 2009 and based in the International Centre of Insect Physiology and Ecology (ICIPE) in Nairobi. It is an agent of change and aspires to contribute to alleviation of poverty and improve the livelihoods of smallholder farmers in Kenya and other African countries with agroecology and ecological organic farming. BvAT provides people with a wealth of information and knowledge to achieve good crop yields without relying on expensive chemical fertilizers and pesticides.
BvAT has built competence in the field of linking research and practice to process and disseminate information on appropriate technologies. While helping smallholder farmers, BvAT addresses four target groups with a holistic perspective. It works firstly directly with the smallholder farmers and through multipliers of information for building farmer’s knowledge and capacity. BvAT creates secondly market demand for farmer’s product while working with processors, traders, and consumers. Thirdly, it supports the legitimized institutions of the farmers to build their capacity to advocate for their rights and to establish the needed market functions. Finally, and fourthly, it facilitates building better framework conditions with improved government policies
Technical Software Specification
The Biovision Africa Trust (BvAT) intends acquire a Microsoft Dynamics Office 365 Enterprise Resource Planning (ERP) solution to address the current and future information management system requirements of the Trust’s Donor grants and Projects management, financial management, Travel management, Payroll Management Human Resource management and Procurement management.
BvAT hence invites eligible and qualified firms who are able to demonstrate capability to implement Microsoft Dynamics Office 365 Enterprise Resource Planning (ERP) solution by providing quotations.
The proposed System should consist of the following integrated functions:
The core component of the solution is the Grants and Projects Management module which would involve management and tracking of Grants in all stages of:

Sub-grants management involves disbursement of funds to a partner. A Partner is a BvAT customer who is contracted to carry out a role in the lifetime of a project. The module will integrate with the grants and projects management module to assess, maintain and record partner transactions.
These three modules must be tightly integrated with the grants and projects management.
BvAT works on a number of projects concurrently. It is necessary therefore to amalgamate planning for projects taking into account delivery dates, time and skills required for each project. The system would also be required to record work carried out and resources utilized. BvAT is looking to implement a comprehensive resource recording system by project. The resources recorded (e.g. time) may be used for cost allocations to projects.

The contract price is based on the lump-sum – please provide the pricing in Annex 2 – Financial Proposal. Please note that prices cannot be changed once the quotation has been submitted. The price shall remain fixed for the entire period of the Contract and shall include all costs, expenses, charges, or fees that the Bidder may incur in connection with this requirement. The pricing must be based on the above summary of number of users for both Onsite (Purchase) Version and Cloud (Subscription) Version of the Microsoft Dynamics ERP.
BvAT will undertake a site visit to selected clients of the bidders. The vendors must have undertaken a minimum of three similar implementation in a not-for-profit organization. The format for providing client reference is provided under annex 3.
