JOB SUMMARY

The Short-Term Missions Manager will be responsible for the operational success of MAP International’s short term mission program ensuring seamless team management and development, program delivery, quality control and evaluation. This position is customer service focused and requires a strong ability to be versatile while working both collaboratively and independently. This person must be tech-savvy, possess excellent interpersonal skills, high level communication abilities, and time management skills. The Short-Term Missions Manager has an externally facing role managing relationships. The STMM will work to increase the visibility of the program with new and existing partners. The role will also be responsible for growing the program to new levels by incorporating innovative new ideas. Internally, they will serve as a bridge between operations, communications and fundraising functions. There also is a heavy emphasis on team management, development of staff and establishing standards of performance.

ESSENTIAL DUTIES AND RESPONSIBILITIES

INCREASING THE MINISTRY (Program Growth)

· Establishes working relationships with current and potential program partners (individuals and organizations.)

· Identify/elevate emerging opportunities for outreach with partners and community stakeholders.

· Raise awareness of MAP’s programs.

· Outreach event planning and logistics support.

· Support the cultivation and engagement of relationships with prospective partners that have the ability to support the expansion of MAP’s impact.

· Use creative and innovative approaches to reaching target partners.

· Work in tandem with communications and fundraising functions on sourcing content (e.g., photos or short videos for social media/newsletters) that highlights our impact and partner collaboration.

· Coordinate program collateral production; procure and manage event supplies.

· Travel to conferences, outreach opportunities, churches and other outlets where growth of the short-term missions program will be the primary focus.

PROGRAM ACTIVITIES

· Executes MAP short-term mission programs successfully.

· Launches, executes, and successfully completes project tasks related to the above programs on time, within budget, and at a high level of quality.

· Implements and manages work plans, establishing timelines for activities and tracking actual progress.

· Works with leadership to iterate on the Business Development Plan, including new products, adaptations, and customizations of the existing MAP programs.

· Tracks changes in and the status of project deliverables and indicators relevant to the goals of the project plan to assess impact of all programs.

· Raises service fees from assigned programs to meet or exceed yearly budget goals.

CUSTOMER SERVICE

· Communicates effectively and courteously with all contacts -- internal and external; works well with a diverse team of people.

· Cultivates a feedback loop that contributes to program improvements.

· Acts as a liaison for MAP with its partners to facilitate communication and program services integration.

· Develops and implements strategies that will maximize the synergies among program areas.

· Leads and supports continuous improvement activity in relation to on-time and high-quality program launches, including, but not limited to, tracking deliverables and milestones, and partnership management.

REPORTING AND COMPLIANCE

· Develop and disseminate program evaluation reports.

· Develop and maintain comprehensive data collection and reporting processes.

· Effectively communicate program guidelines, monitor compliance, respond to field inquiries.

· Assist with data collection (qualitative/quantitative) for the short-term mission program with the goal of receiving feedback from all STM partners on each order.

· Create, implement, and track the results of Short-Term Missions plans – including the use of digital strategies - to increase the program visibility and recruit a targeted number of new partners.

· Follows and requires the team to follow procedures for governmental export regulation compliance known as DSCSA.

OPERATIONS

· Works with members of the Corporate Relations and Operation teams to assist them in procurement and distribution of MAP pharmaceutical resources.

· Assists with inventory management via data administration.

· Reconciles product purchase orders with invoice amounts and enters invoices.

· Maintains and regularly updates internal and external partnership documents (i.e., approved documents, contact lists, etc.).

· Develops Standard Operating Procedures for program management protocols, including templates and systems to maximize efficiencies and accountability.

· Monitors website and online ordering systems for issues and required improvements.

· Performs general office duties such as data input, tracking, and reporting.

MANAGEMENT AND TEAM DEVELOPMENT

· Use MAP’s HR management system to evaluate the skills, experience, and professional development needs of staff on the STM team.

· Supports the vision and goals of MAP.

· Works with staff to develop objective performance measurements, to ensure consistent, high-quality evaluation and goal setting for all employees.

· Instills a sense of accountability among team members by modeling tight oversight of individual and organization performance standards.

ORGANIZATIONAL RELATIONSHIPS

The Short-Term Missions Manager will report to the VP, Global Giving and have 1 – 2 direct reports. This position will work closely with the Long Term Health Development team and the cross functional Monitoring & Evaluation Team.

QUALIFICATIONS

· Fully COVID-19 vaccinated as defined by the Centers for Disease Control

· Demonstrated success selecting and successfully operationalizing innovative programs.

· Track record of effective program and project management experience.

· Ability to raise money through service fees to meet yearly budget goals.

· Strong interpersonal skills, especially in relationship management with high regard for quality service to partners and other staff.

· Proficient in using technology as a management reporting tool and experience working with information technology staff to develop and implement program evaluation systems.

· The ability to quickly research and conduct data analysis and summarize critical findings.

· Adept with or able to quickly learn new online platforms (with some assistance) and working knowledge of Microsoft Office (including Outlook, Word, Excel, and PowerPoint).

· Familiarity with pharmacy, medicine, and related disciplines.

· Excellent verbal and written communication skills required.

· Self-motivated, curious, goal-oriented individual.

· Works effectively and collaboratively within a team and with partners.

EDUCATION AND/OR EXPERIENCE

· Bachelor's degree, or equivalent work experience

· Management: 3 years (Preferred)

· 5-8 years of directly related professional experience

· US work authorization
