• After consultations with the UNDSS/DSA update staff about high-risk security situations that may develop and areas to be avoided through the radio, email and SMS texting.
  • Disseminate security related information as directed through the Emergency Communications System (ECS), SMS/WhatsApp text Security Alerts, Email, Telephone and /or any other communication means used by the UN.
  • Receive, log and process all UN staffing figures and maintain an up to date database.
  • Maintain a Google Earth mapping system for all staff residences, UN Agency officers and other key locations, ensuring locations and addresses are fully maintained and ensure Wardens’ are updated with any staff residence changes.
  • Maintain and update the Wardens list for SA under the supervision of the Administration Assistant.
  • Maintain and update the SMS/WhatsApp texting database.
  • Monitoring open sources and other sources of security related information in support to the CSA/DSA/FSCO by confirmation of security related incidents.
  • Provide necessary assistance/support to all UN Staff and UN Agency Staff who may need security assistance through radio and/or telephone channels.
  • Maintain 24 hour radio and telephone communication, with the: 
  • Collect and correlate information on Fire Drills from the UN House and UN Agency offices.
  • Conduct periodic radio checks as necessary.
  • Track the movement of all staff who are travelling in South Africa, as requested by UNDSS.
  • Upon assuming duties check that all office machines, radios and repeaters, cameras air conditioners, lights, etc. in the Radio Room are in working condition.
  • Receive, record and appropriately respond to telephone/email enquiries.
  • Log in all incidents and accidents reported in the electronic/manual Occurrence Book (OB).
  • Brief the incoming SOA of all events, especially pending cases on actions taken/to be taken.
  • Issues photo security passes to new UN staff members.
  • Perform any other tasks and duties as directed by the DSA/supervisor.
  • Providing all UN agencies / Funds and programmes prompt and client oriented service.
  • SOC is expected to act as a Crisis Coordination Centre in any critical situation or contingencies faced by the UN security management system.
  • Ability to perform a variety of repetitive and routine tasks

  • Knowledge of office software applications relating to word processing data management presentation,

  • Collects and compiles data with speed and accuracy identifying what is relevant and discarding what is not, records it in an accessible manner and maintains data bases
  • Thoroughly and methodically collects, verifies and records data demonstrating attention to detail and identifying and correcting errors on own initiative
  • Transmits file data; creates and generate queries, reports and documents utilizing databases, spreadsheets, communications and other software packages with speed and accuracy
  • Interprets data, draws conclusions and/or identifies patterns which support the work of others
  • Creates, edits and presents information (queries, reports, documents)  in visually pleasing, clear and presentable formats  such as tables, forms, presentations, briefing notes/books and reports using advanced word processing and presentation functions and basic database and spreadsheet software
  • Edits, formats and provides inputs to correspondence, reports, documents and/or presentations using work processing, spreadsheets and databases meeting quality standards and requiring minimal correction
  • Shows sound grasp of grammar, spelling and structure in the required language
  • Ensures correspondence, reports and documents comply with established UN standards
  • Ability to produce accurate and well documented records conforming to the required standard
  • Organises and accurately completes multiple tasks by establishing priorities while taking into consideration special assignments, frequent interruptions, deadlines, available resources and multiple reporting relationships
  • Plans, coordinates and organises workload while remaining aware of changing priorities and competing deadlines
  • Demonstrates ability to quickly shift from one task to another to meet multiple support needs
  • Establishes, builds and maintains effective working relationships with staff and clients to facilitate the provision of support
  • Secondary education.
  • 3 years of relevant work experience in Security or Information Technology
  • Ability to work with computer and office software packages (MS Word, Excel, etc.) and knowledge of spreadsheet and database packages.
  • Fluency in English
  • Knowledge of national language of the duty station desirable
