The Project Coordinator is responsible for performing a coordinating role in the two projects: Ukama Ustawi (UU) and Accelerating Impacts of CGIAR Climate Research for Africa (AICCRA) Zambia. The Project Coordinator will ensure an enabling environment among the project team, implementation partners, and key stakeholders for timely delivery of the project outputs. In addition, the Project Coordinator will strengthen IWMI\u2019s capacity to implement the UU and AICCRA Zambia projects and other R4D projects in Southern Africa.

GENERAL DUTIES AND RESPONSIBILITIESThe Project Coordinator will work under the direct guidance and supervision of the IWMI representative for Southern Africa to assist in the implementation of the UU and AICCRA Zambia projects and other R4D projects and related activities. His/her duty station will be at the IWMI-Southern Africa office, Pretoria, South Africa, and will travel outside Southern Africa as required.

Most of the tasks of the Project Coordinator shall focus on coordination and implementation support for R4D projects (primarily on UU, AICCRA-Zambia but also other projects). Assist the IWMI-EA office head in coordinating the implementation R4D projects, including the UU and AICCRA-Zambia projects in particular. Work with technical teams to develop and monitor a detailed workplan that is aligned with the overall project deliverables and donor reporting schedules, enabling informed decision making and consistency of information presented to stakeholders. Work with the IWMI-Southern Africa Representative to monitor budget expenditures and draft quarterly donor reports; auditing expenses to assure proper use of financial resources. Coordinate regular team meetings, preparing necessary presentation materials, keeping track of commitments and follow-up. Ensure regular coordination and communication flows with key project partners, such as AICCRA Regional Leads, other Country Leads, PMC as well as with Governments, private sector and other implementation partners. Support technical teams in the preparation of TORs and procurement documents, evaluation and selection of the Consultants, and review of consultant deliverables, as required. Assist in the organization and conducting of workshops, training sessions, and other related events Assist in the stakeholder outreach and organization of stakeholder events under the UU and AICCRA-Zambia projects. Create and monitor risk registers for these projects. Create communication strategy and liase as appropriate to ensure implementation. Support monitoring, evaluation, and learning processes ensuring organization and retention of project records in compliance with donor and IWMI policies. Track partner progress, including monitoring deliverables and expenditure progress; conducting financial administration of partner agreements, including disbursements against deliverables, requesting financial reports and assisting with partner audits where applicable. Contribute to preparing accurate and timely reporting on programmes and activities that enable informed decision making and consistency of information presented to stakeholders. Liaise with internal and external counterparts to ensure effective collaboration, monitor the ongoing progress of the programme, and highlight potential risks to programme delivery. Support the identification, development, and management of potential partnerships to collaborative working leading to improved donors programme. Facilitate regular virtual and physical meetings with all implementing partners for coordination and planning. Responsible for all financial, operational, logistical, procurement, and accounting processes of the project. Audit expenses to assure proper use of financial resources provided by sponsors Assist in coordination and partnership with government, private sector and other development counterparts. Track project portfolio, outputs, progress reporting updates, project progress, including project deliverables, and provide administrative support to the Project Leader to ensure that agreed timelines are adhered to. Coordinate stakeholder engagement arrangements for the Project Leader as and when necessary. Oversee all financial, operational, logistical, procurement, and accounting processes of the project in coordination with the Project Leader. Ensure that enquiries and correspondence to the Project Leader are responded to appropriately and timely.

Requirements

Qualifications-:

A postgraduate university degree in the field of environmental science, climate change, policy or other scientific disciplines relevant to water resources for multi-sectors.

Experience & Knowledge-:

Between 6-8 years of work experience, including at least 4 years of demonstrated experience in project coordination and management processes with international organizations or other development partners Good organizational skills, with the ability to handle multiple tasks in a timely manner. Demonstrated strong communication skills, particularly when preparing correspondence and briefings. Demonstrated familiarity with social media and the ability to use such media to promote inter-office communications and information sharing.

The ability to effectively establish priorities and plan, organize, implement and monitor work activities with limited supervision. Excellent interpersonal skills, and the ability to establish and maintain effective working relationships with people in a multicultural and multidisciplinary environment, with sensitivity and respect for diversity. Demonstrated skills in project management software. Demonstrated skills in facilitation methods for participatory decisions and shared visions with stakeholders. Excellent command in using MS Office and other computer softwares at a highly proficient level. Ability to deal with sensitive and confidential information in a professional manner. Personal attributes include high standards of conduct, respect, flexibility, and sound work ethic. Experience in the preparation of scientific information and papers. Experience in building and sustaining relationships with diverse stakeholders.
