UNDP's activities in BiH are structured around the three pillars of the 2021-2025 Country Programme Document, namely sustainable and inclusive growth, effective and people-centered governance, and social cohesion. This cooperation contributes to the country's progress towards the European Union as well as to the implementation of the global 2030 Agenda for Sustainable Development and the SDGs Framework for Bosnia and Herzegovina.

The UNDP BiH structure consists of four sectors: Good Governance, Inclusive Growth, Energy and Environment, and Justice and Human Security.

The Good Governance Sector includes 17 projects divided among three portfolios: SOG Governance, Integrated Local Development, and Inclusive Society. The implementation of the projects include extensive efforts in terms of financial, budgetary and administrative management. The Project Associate will provide support to the projects across the sector, with the focus on Inclusive Society Portfolio, to ensure both timely implementation of and reporting on the project activities.

The incumbent will be based in UNDP BiH office in Sarajevo.


  Duties and Responsibilities
  Under the direct supervision of the Good Governance Senior Sector Associate, the core functions of the Project Associate will include the following:

a) Overall technical, administrative, and logistical support
• Review technical and support information on relevant studies, projects, and initiatives that may contribute to the sector and project activities
• Participate in the planning, organizing, and execution of activities;
• Organize and coordinate seminars, training activities, workshops, site visits and other exchange and facilitation events for stakeholders;
• Organize and coordinate information exchanges both internationally and between participating institutions;
• Compile and prepare the documentation necessary for the procurement of services, good and supplies under the project;
• Maintain the Project's files and supporting documentation for payments;
• Draft routine official correspondence and assists in the preparation of various reports.

 

b) Support in the implementation of business processes
• Assist the sector and projects in the selection process of the individual consultants
• Perform the procurement of services, goods and supplies for projects as decided by the supervisor;
• Support periodic and ad-hoc financial reporting;
• Support projects across the sector in performing monitoring of expenditures and commitments against project budgets and relevant plans
• Assists team members, experts, and consultants, in liaison with UNDP Operations, on financial and other operational matters.
• Prepare the payment requests;
• Organize translation and interpretation services in accordance with business processes.

c) Support in Business Process Quality Assurance
• Ensure that the business processes are in line with the UNDP rules and regulations, policies, and internal control framework;
• Assist the projects in timely reporting and participate in the drafting of the administrative, technical and financial reports;
• Assist the projects in the monitoring of disbursements;
• Perform any other duty as requested by the supervisor.
 

d) Support in effective mainstreaming of gender equality:
• Provide effective support in mainstreaming gender equality in the implementation of the project across the sector;
• Provide effective support in incorporating gender equality in sector's or projects' work and outputs;
• Ensure that all collected data related to the project are gender and age disaggregated and evaluated from the gender point of view.

• Secondary education

Experience:

• Minimum 6 years (with Secondary education) or 3 years (with Bachelor's degree) of relevant administrative and/or project support work experience.

Required skills:
• Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and knowledge of spreadsheet and database packages, experience in handling web-based management systems.
