POSITION TITLE: Procurement Assistant

REPORTS TO: Operations and Procurement Manager

JOB SUMMARY

Procurement Assistant will support activities related to procurement of all goods and services required to carry out project activities. Handles low threshold procurement process, which includes preparing procurement request, requesting quotations, assist in finalizing purchase orders, and reviewing invoices prior to Finance team for payment.

KEY JOB RESPONSIBILITIES:

  • Logistics/ Administrative support to organization of conferences, workshops, trainings, retreats, study tours, etc.;
  • Arrangement of travel and hotel reservations, preparation of travel authorizations; booking air tickets, transport; submitting payment requests for travels to the finance department
  • Provides assistance in organizing logistics for seminars/workshop/meetings of program activities and monitoring the performance of Supplier work on the place
  • Preparation of payment requests related to procurement of goods, services and works with all supporting documents
  • Assistance in proper control of the supporting documents for payments for the Programs /Projects procurement activities; payment execution and monitoring payment status
  • Supports to organization of procurement processes including preparation of RFQs, receipt of quotations, their preliminary evaluation.
  • Maintenance of files related to personnel, procurement, logistical, program/project matters;
  • Arranges and manage of courier service and transport for project staff;
  • Assists to Procurement and Administration in daily routine work
  • Perform other tasks assigned by the supervisor

    TYPE AND NATURE OF CONTACTS:

    Frequent interaction with project leaders, program, administrative and other staff.
