A roster of suitable candidates will be established for this post as a result of this selection process for fixed-term appointments against both established posts and positions funded by general temporary assistance (GTA).

Important:

Recruitment for this post in the General Service category is done on a local basis. As a result, staff are generally recruited from the area in which the particular office is located but could be of any nationality. Candidates applying to a post in the General Services category shall meet the relevant employment and immigration requirements in the country of the duty station, including fulfilling residence and work permit conditions.

Applicants will be responsible for any expenses incurred in relation to: visa, travel to and from, and relocation to and from the duty station, in the event of an employment offer.

A staff member in the General Service category who has been locally recruited shall not be eligible for the entitlements and/or benefits exclusively applicable to internationally recruited staff.

Organisational Context

The two Deputy Prosecutors, under the delegated authority of the Prosecutor, will manage the two Prosecution Pillars. The two Prosecution Pillars will be responsible for an equal division of situations and cases based on a Unified Team concept.

The Prosecution Pillars oversee preliminary examinations, investigations, prosecutions, and when applicable, appeals proceedings; providing strategic advice and guidance to the Prosecutor on each situation and case under their responsibility. This will include recommendations on prioritisation and effective use of resources.

The Personal Assistants are responsible for all administrative and secretarial support to the Deputy Prosecutors; operating in a fast-paced environment subject to rapidly evolving needs and priorities.

Duties & Responsibilities

Under the direct supervision of the Deputy Prosecutor, the incumbent will perform the following duties in coordination with the Special Assistant to the Deputy Prosecutor :

  • Provide professional and efficient secretarial and administrative support to the Deputy Prosecutor for the day-to-day organisation of his or her work;
  • Manage the agenda of the Deputy Prosecutor, receive visitors, place and screen telephone calls, answer queries with discretion;
  • Prepare and process the official travel of the Deputy Prosecutor, in coordination with relevant units of the Office as well as with the Travel Unit of the Registry of the Court;
  • Schedule and co-ordinate meetings hosted by the Deputy Prosecutor, and provide administrative support as may be required, including by requesting briefing notes to relevant staff and units of the Office in coordination with the Special Assistant to the Deputy Prosecutor;
  • Ensure the smooth and constant flow of information between the Deputy Prosecutor and his direct subordinates;
  • Draft correspondence for the Deputy Prosecutor in both working languages of the Court;
  • Establish and maintain a paper-based and electronic filing system for the Deputy Prosecutor; and
  • Perform any other tasks as may be required by the Deputy Prosecutor.

    Essential Qualifications

    Education:

  • Diploma of secondary education;
  • Secretarial training would be considered an asset

    Experience:

    A minimum of eight (8) years of progressively responsible work experience in administration and office management as an executive assistant in an international organisation, government or private sector. An advanced or a first-level university degree may be considered as a substitute for two years' working experience only to determine eligibility.

    Knowledge, skills, and abilities:

  • Excellent knowledge of office management practices and procedures;
  • Familiarity with the rules and procedures of diplomatic protocol, would be considered an asset;
  • Excellent oral and written communication
  • Excellent and organisational skills, including the ability to plan and establish priorities, cope under pressure with continuously changing priorities, work with a high degree of autonomy and meet deadlines;
  • Excellent knowledge of standard IT computer tools (especially Microsoft Office Suite);
  • Ability to build effective working relationships with clients and colleagues at all levels in a multicultural environment;
  • Ability to exercise judgment on and deal discretely with confidential/sensitive information;
  • Ability to be proactive and take initiative;
  • Tact and diplomacy.

    Knowledge of languages:

    Proficiency in one of the working languages of the Court, English or French, and working knowledge of the other are required. Knowledge of another official language of the Court (Arabic, Chinese, Russian and Spanish) and Dutch would be considered an asset.
