    As part of its commitment to support Plan International Federation reach 100 million girls so to Learn, Lead, Decide and Thrive, Plan International Liberia has developed a Country Strategy for the next five years (2019 to 2024) with specific focus on reaching 600,000 marginalized girls and children all over the country, with a strong commitment to work with partners at various levels to put an end to violence against girls and young women including Child Early Forced Marriage and Female Genital Mutilation (FGM) and other norms and practices that hinder their development and empowerment.

    Plan International Liberia is committed to ensuring that Child Protection and Youth Safeguarding, Gender Transformative programming and Influencing are key and an integral part of all its work in the country.

    Dimensions of Role:

    • Provide support during recruitment process by notifying candidates for an interview; arrange interview venue and coordinate with the People & Culture Coordinator on other matters without any delays
    • Manage the updating of all staff files to prevent loss of documents and easy access. Staff files updated and kept safe and accessible when needed
    • Manage staff leave records so that staff take the mandatory rest and the organisation do not loose from excess leave days that staff may take
    • Coordinate the execution of the employees’ social security, medical and life insurance procedures to ensure that all employees are covered in line with the organization’s policies and legal requirements.
    • Submit medical reimbursement claims to the insurance company upon request from staff.
    • Coordinate and send out the monthly timesheets template to all staff and produce a monthly consolidated report to be used for cost recovery.
    • Ensure that staff certificates earned and policy form is sign off by all staff and are recorded on an excel spreadsheet.
    • Provide efficient logistical arrangements for People & Culture meetings, workshops, interviews, staff orientations and generate relevant paper work including making follow-ups of the same.
    • Provide an up-to-date on People & Culture calendar for important deadlines and upcoming events is maintained and shared accordingly.
    • Facilitate and track the process of work permit, residence permit and multiple entry visa for all international staff monthly to the People & Culture Coordinator for action.
    • Prepares payment request for contractors, consultants, service provider and etc. when requested
    • Ensure that staff birthday is send out on a monthly basic. Birthday cards and cake at the end of the month are given to them.
    • Conduct all other People & Culture administrative activities for the smooth flow of the People & Culture department. Smooth flow of administrative duties evident at all times.
    • Ensure adherence to People & Culture policy and practices, consistent with global policy and compliant with local statutory and legislative requirements to avoid industrial conflicts and other malpractices.
    • Ensure gender mainstreaming and maintain gender sensitivity towards staff and Plan associate. Gender sensitivity evident in delivery of roles.
    • Fulfill Plan’s Child Protection Policy at all times to ensure children are kept safe at all times. No incidence of involvement in any form of child abuse both at work and at home.
    • Administer the employee orientation/induction and blended learning programmes to support staff settle down easily and faster and make recommendations for necessary changes. Staff go through orientation and reports placed on time.
    • Perform any other duties that may be assigned from time to time to support the attainment of the organization’s goals.

      Communications and Working Relationships:

      Working contacts inside and outside the organization; include the purpose and level (high, medium, low) of the contact

    • Maintains high contact with all staff from the program unit and country offices to offer support for understanding and implementation of all People & Culture related activities
    • Low contact with Plan partner organizations to offer support for human resource activities

      Knowledge, Skills and Behaviours Required to Achieve Role’s Objectives:

      Knowledge

    • University degree in Human Resource Management, Social Sciences, Sociology and Psychology or equivalent in any related field.
    • At least 3 years’ experience in HR management practices in a reputable organization
    • Experience in administration of the relevant income tax laws
    • Understanding of community development principles and strategies children’s rights.
    • Experience in the operation of a human resource information system
    • Ability to work with minimum supervision
