Duties and Responsibilities

Under the guidance and supervision of the Operations Manager, the Intern provides operational support services ensuring high quality and accuracy of work, execution of transparent and efficient services and processes in CO. The Intern promotes a client, quality and results-oriented approach.

The Intern works in close collaboration with the operations, programme and projects staff in the CO and other UN agencies staff to exchange information, resolve procurement and administrative issues and ensure consistent service delivery. More specifically: 

  • Conduct market research and supplier sourcing
  • Consolidate asset data and supporting document
  • Help develop Term of Reference, Request for Quotation and Request for Proposal
  • Assist managing competitive bidding process including bid opening, bid evaluation, consolidate evaluation document  
  • Assist development of UN products Archive purchases orders, contracts and other procurement related files and update and maintain database;
  • Collect, search and compile potential suppliers list
  • Archive travel purchase orders and related files
  • Update and perfect the UNDP product catalogue
  • Update consultant roaster and supplier roaster
  • Backup the Receptionist/Administrative Assist and when he/she is one leave/mission
  • Provide logistic support for events, missions and conference 
  • Performs miscellaneous job-related duties as assigned.
Competencies

IV. REQUIREMENTS AND QUALIFICATIONS

Education:

Candidates must meet one of the following educational requirements:

•          Enrolled in a Master's or in a Ph.D. programme

•          In the final year of a Bachelor’s programme;

•          Or within one year after graduation from a Bachelor’s, Master’s or Ph.D. programme,

•          Or be enrolled in a postgraduate professional traineeship program and undertake the internship as part of this program

IT skills:

  • Knowledge and a proficient user of Microsoft Office productivity tools;
  • Some familiarity with graphic design software or web-based tools in an asset

Language skills:

  • English and Mandarin Chinese required;
  • Knowledge of other UN languages is an advantage;

Other competencies and attitude:

  • Sound communication skill and sense of judgment
  • Database management skills;
  • Detail-oriented, preferably with previous administrative and office management experience;
  • Eager to learn new things and gradually adapt the theory into practical work 
  • Ability to work independently;
Required Skills and Experience

V. INTERNSHIP CONDITIONS

  • Interns must provide proof of enrolment in health insurance plan and medical certificate of good health prior to starting the internship. Any cost arising from accidents and illness incurred during an internship assignment will be the responsibility of the intern.
  • The stipend will be paid monthly. Interns will have 1.5 days of leave per month.
  • Interns are responsible for obtaining necessary visas and arranging travel to and from the duty station where the internship will be performed; Cost and arrangement for travel, visas, passports, accommodations and living expenses are the responsibility of the nominating institution, related institution or government, which may provide the required financial assistance to its students; or the intern.
  • Intern must not apply for or be appointed to a position that should be encumbered by a staff number during the period of their internship. Interns are expected to fulfill the terms of their internships. Therefore, internship must not be foreshortened for the purposes of allowing an intern to apply for a position
  • Interns are not staff members and may not represent UNDP in any official capacity.
