The Major Gifts and Planned Giving program at CARE is responsible for securing over $70 million annually from generous philanthropists to combat poverty and respond to humanitarian crises worldwide. Reporting to the Associate Vice Presidents of Philanthropy, the Manager of Philanthropy Operations plays a pivotal role in ensuring that the team can meet and exceed its annual fundraising goals. The Manager provides oversight and mentorship to a team of 3 to 4 Coordinators and supports key operational functions. Responsibilities include tasks such as high-level partnership and support to the AVPs, data, and budget analysis, integrity, and management, team organization, and other critical administrative leadership. Responsibilities:
- Team Leadership in Administrative and Budget Management
- Supervise and ensure efficiencies among a team of 3-4 Coordinators directly supporting fundraisers.
- Plan, coordinate logistics, and execute team meetings and retreats.
- Ensure timely communications on all admin-related items.
- Complete administrative tasks with accuracy, including taking notes, assigning action items and next steps, preparing expense reports, etc.
- Manage team budgets including forecasting, monthly reports on expenses, monitor travel costs, etc.
- Lead all procurement efforts.
- Data and Systems Improvement

- Act as the team’s in-house Salesforce super-user and manage proactive data hygiene and data analysis for trends, risks, and opportunities. Prepare reports on individual fundraiser performance.
- Own and improve internal processes and systems for efficiency including partnering with Development Operations and coordination team to fully resolve any issues, errors, adjustments needed by fundraising team.
- Executive Support to Associate Vice Presidents
- Manage complex calendars/scheduling for two Associate Vice Presidents, including negotiating meeting requests, resolving scheduling conflicts, preparing the AVPs for meetings, and drafting agendas, materials, and briefings as needed.
- Provide strategic support to the Associate Vice Presidents with high-level donor management by supporting key donor engagement logistics, grant compliance and reporting, portfolio reviews, etc.
- Draft confidential memos, plans, process and systems maps, etc.
Qualifications:
- Bachelors degree or equivalent combination of education and working experience.
- 3-5 years of experience in an operational role or lead administration role.
- Experience managing staff.
- Project management experience.
- Proficient in Microsoft suite of products and Salesforce (NPSP version) experience highly desired.
- Strong communication skills, especially written and building crisp and clear presentations with data.
