Background

Under the guidance and direct supervision of Chief of Operations, the Management Associate shall be responsible in providing high quality and full range of managerial support service to all the sub-units in the Management Support Unit (MSU) in GSSU.

The managerial support services include supporting the various ongoing and emerging MSU initiatives, follow-up and tracking of implementation and monitoring of those initiatives; support the management of MSU business processes and re-engineering; the MSU accountability framework; business continuity and risk management; effective and efficient operating environment through the coordination of MSU oversight dashboard; and internal client satisfaction framework.

Duties and Responsibilities

1. Provision of support in the strategic management including initiatives, implementation, and its monitoring.

  • Provision of high quality of support in management of strategic plan in the MSU.
  • Support the strategic MSU initiatives and ensure their successful implementation as well as the follow up and monitoring of the initiatives.
  • Ensure full compliance of MSU with UN/UNDP rules and regulations and policies.
  • Support in the continuous analysis of corporate operational strategies and policies, assessing the impact of changes and making recommendations on their implementation in MSU.

2. Management of MSU business processes and re-engineering.

  • Support MSU business processes mapping and elaboration of internal Standard Operating Procedures (SOPs) in operations management, control of the workflows, and provision of input and analytical support to the business process re-engineering.
  • Provide oversight and tracking over the compliance created internal Standard Operating Procedure; annual review and revision of SOPs as required.

3. Ensuring effective introduction and implementation of accountability framework of MSU.

  • Continuous analysis of the corporate accountability framework and effectively support the establishment and implementation of the Internal Control Framework for MSU.
  • Support the full compliance of implementation of accountability and delegation of authority in MSU.
  • Lead and coordinate in generating Oversight reports for MSU.

4. Ensuring business continuity and risk management in GSSC.

  • Support, coordinate and update the Business Continuity Plan for the GSSC
  • Manage the implementation and monitor the annual testing of GSSC Business Continuity Plan.
  • Provide strategic support to risk assessment and risk management.

5. Ensuring effective and efficient working environment in MSU.

  • Promote client orientation in operating environment between MSU and its clients.
  • Work towards team building and promote knowledge sharing.
  • Support and coordinate MSU Customers Satisfaction survey and the development of the surveys, analysis and follow-up actions.
  • Optimize uses of all available corporate and MSU tools for more efficiency and smarter work processes.

Required Skills and Experience

Education:

High School certificate or Bachelor’s degree in Business Administration, Public Administration, Bachelor of Arts, Social Sciences, Management or related field.

Experience:

  • 7 years with High School or 4 years with Bachelor’s degree, of relevant professional experience at the national or international level in providing management support services, business process improvement and automation.
  • Experience in using ERP, web-based systems, an asset.
  • Knowledge about UN/UNDP would be an advantage.

Language Requirements:

Fluency in English and Bahasa Malaysia is required.
