The objective of the department of Operational Support and Services is to ensure high quality, consistent and responsive managerial and administrative services to all programmes and staff in headquarters, and where relevant, to all regions and offices of WHO, and to promote an efficient and collaborative customer-oriented working environment to achieve results. The Global Conference and Training Centre , under OSS also manages and supports the delivery of Conference and Training facilities and Services for WHO.

DESCRIPTION OF DUTIES

To provide the necessary support to the organization of the GCT centre s meetings and training workshops. To ensure logistics (hotel and travel arrangements) of the participants. To conduct and arrange the meeting of participants at the airport. To apply to the Ministry of Interior for visas and act as focal point for visitor enquiries. To prepare the relevant meeting documentations and provide secretarial support to multiple professional staff in the training area, and to other professional staff on the team or in the Centre as required. To screen all incoming correspondence, documents and reports related to the activities organized by the Centre, identify important correspondence requiring urgent attention, ensure proper and prompt distribution and/or circulation, verify and collate inputs from various units for the preparation of documents and information, within set deadlines. To review all outgoing correspondence for accuracy of information, format and editorial practices, pay particular attention to correspondence to be signed by the Director as well as to documents submitted for signature or approval, in line with delegated authority. To draft/prepare general correspondence, notices, etc. referring to supervisor or units on technical issues, during supervisor s absence, prepare briefs or notes on matters for which he/she is responsible. To ensure correct application of instructions particularly as regards to technical unit s responsibility in initiating administrative actions related to budget, finance, supplies, personnel, project agreements and exchange of letters. To act as focal point for visitors, host government and other ministries. Act as focal point for logistics during the preparation and venue of meetings.

REQUIRED QUALIFICATIONS

Education

Essential: Completion of secondary school education or equivalent academic qualification.

Desirable: Additional relevant higher education in management and logistic an advantage.

Experience

Essential: A minimum of five years of relevant practical experience in management or administrative work, some experience in WHO an asset, with a good knowledge of procedures and practices of an organization in the UN system.

Desirable: Skills

The incumbent maintains and updates proficiency in the use of modern office technology through in-house courses, on-the-job training or self-training. Training in, or sound knowledge of administrative procedures. Proficiency in the use of standard office software such as MS Word, Power Point, Excel, etc., ideally with training in online work planning and management systems.

Desirable: REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at TND 24,804 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
