Purpose of the Job:

The Logistics Assistant under the supervision of Logistics Coordinator – Mazar will assist Kunduz Logistics Department (distribution of RFQs in the Market, arrangements of committee meetings, completion of documents), Asset Management (registration of items in the system, trucking of changes), Fleet Management (prepare roster, over time of drivers and arrangement of missions) and Stock Management (truck each items in/out)

Generic responsibilities:

Ensure adherence with NRC policies, tools, handbooks and guidelines Implement delegated support function portfolio according to plan of action Manage day-to-day maintenance issues at Kunduz office and guesthouse ensuring NRC’s assets and inventories are well maintained. Organize repairs and maintenance as necessary. Ensure proper filing of logistics documents for future references and audit purposes

Specific responsibilities

Being responsible for all activities at the warehouse/stock management in Kunduz. Handle transportation of goods & supplies to and from field offices & air cargo issues. Act as back up for logistics team in other north offices, when required. Physical checkup of vehicles on regularly bases (seek support from Drivers) Ensure electricity bills of Kundzu office and guesthouse are paid on time. Preparing of driver’s monthly duty Rooster and overtimes calculation on monthly bases. Fleet & generator management (coordination meeting with drivers, fuelling, logbook tracking. etc)  Manage & supervise Kunduz warehouse/stock and ensure that all items are received, dispatched and stored properly. Stock cards are accurately done and monthly stock reports are produced/shared to Logistics Officer on second of each months. Coordinate and manage drivers in consultation of Logistics Officers and ensure about their fair night and day shifts schedule. Ensure that all assets/equipment purchased are entered in asset/ inventory database and filling handover (Check In& Check Out) forms before allocating or dispatching to the requester. Maintain file for all contracts (lessee agreement, rental vehicle, MoUs and FWA) and ensure that all original contracts/agreements are kept in a secure manner. Updating Logistics Officer about contribution report on monthly bases. Consolidation of local procurement, and ensuring that NRC’s financial rules, procedures, and standards are applied. Organize transport of office goods/supplies from Kunduz to field offices and coordinate on matters related to dispatch/delivery with other field offices. Making leave plan for drivers and following for them (discuss with drivers) Process office monthly CUG sim top ups invoices from communication companies and submitting them to Finance department for payment.) Prepare vouchers for Pick & Drop rental taxies on monthly bases. Updating of fleet management online Act as back up for logistics team in other north offices, when required. Performs other duties when required and given by the line manager.

Context/ Specific skills, knowledge and experience:

Minimum Bachelor Degree in Business Administration, Economics, Public Administration or Supply Chain Management or relevant field.  Minimum two years of experience in logistics and procurement with a satisfactory performance with reputational organizations, preferably with UN or INGOs is required. Having knowledge of documentation, asset management, warehousing, fleet management, and procurement. Good computer skills - MS Office & database. Good control and supervisory skills Good communication skills Good written and spoken Dari/Pashto. Good spoken English.
