We are currently seeking a qualified candidate for the position of: Procurement and Administrative Intern for the USAID Cambodia Enhancing Quality of Healthcare Activity. This is a five-year project, led by FHI 360 and partnership with Population Services International (PSI), the International Training and Education Center for Health (I-TECH) of the University of Washington, and mClinica that aims to engage and empower national and provincial leadership as well as public and private healthcare managers and providers to collaboratively improve the quality and safety of health services, strengthen systems and increase service utilization.

The Procurement and Administrative Intern will work under the supervision of the Procurement and Administrative Officer. S/he will be responsible for The Procurement and Administrative Intern is responsible for procurement up to $500.00, which is not required to do quote comparison. Work on logistic and administration at parts of receiving goods from suppliers through conducting physical counting, receiving goods to make sure that the number of goods received matches with the amount in Purchase Order and make distribution to EQHA staff or partners. Assist the Procurement and Administrative Officer on preparing paper works for settlement with finance team (expense reconciliation), printing, scanning, and filing documents. S/he will keep tracking of stock in and stock out and conduct physical count of all office materials and project materials every three months. S/he will do other works as required by Procurement &Admin Officer and the EQHA management team.

Key responsibilities:

  • Provide procurement support which each transaction is up to $500.00 to Procurement and Administrative Officer.
  • Prepare paper works of the above-mentioned procurement request/order for settlement with finance team.
  • Procure kitchen supplies, refreshment, and office stationaries. Make sure EQHA office has enough supplies to use.
  • Maintain records of purchases, pricing, and other important data.
  • Prepare working schedule template and share with EQHA staff to update on monthly basis.
  • Provide support in making payment to participants and partners attending in workshop/training in the Phnom Penh and in Provinces.
  • Continuously maintain the inventory of non-expendable property and conduct physical count the inventory on quarterly basis.
  • Work closely with colleagues of finance, administration, and program staffs to ensure smooth and high quality execution of FHI360 supported activities.
  • Work closely with FHI360 Administrative and Logistic Officer to distribute and store correspondence such as letters, emails, and packages.
  • Receive goods from suppliers and conduct physical counts to ensure the amount ordered and received are correct.
  • Control stock in and out of supplies such as masks, hand gel sanitizer, face shield, etc. and distribute to EQHA staff or partners as required. Report to Procurement &Administrative Officer in case the stock will be absorbed within two months.
  • Support Procurement & Administrative Office in organizing EQHA social events in-office and out-office (i.e. happy hours, happy Fridays, lunch/dinner gathering, EQHA marathon, etc. to build team coherence and solidarity, as required
  • Support in making cheerful and happy working environment.
  • Provide regular progress reports and updates to Procurement &Administrative Officer.
  • Develop and maintain filling systems and make sure all final and clean procurement, logistic, and administration related documents are properly stored.
  • Willing to learn on the job and work additional hours when necessary.
  • Perform other relevant duties as assigned by the EQHA management team and Procurement and Administrative Officer.

    • Cambodian National
    • Sophomore or junior in college in commerce, finance, administration, or a related field.
    • Good interpersonal skills.
    • Ability to work well with others and to develop and maintain compatibility among project staff, subcontractors, consultants, and recipients of assistance.
    • Ability to work independently and be self-initiative, positive and cheerful personality
    • Willing to learn new things.
    • Computer literate with skills in the use of Microsoft Office software (Word, Excel, Powerpoint).
