1. Role and responsibilities

    Generic responsibilities 

    The purpose of the Admin assistant position is to assist in the day to day implementation of 

    the HR/Admin Section in Gaza and will work closely with HR and Admin Officer.

  2. Adhere to NRC policies, tools, handbooks and guidelines 
Assist with the implementation of the support function portfolio according to plan of action  Prepare and develop status reports as required by management  File administrative documents according to procedures  Write tenancy agreements and keep track and notify the respective occupants or offices of the expiry of tenancy agreements Assist in any administrative matters: filing, typing, updating of phone lists, keeping adequate stationery supplies for office consumption. Promote and share ideas for improvement of the support function Fulfil any other related duties as instructed.

Specific responsibilities

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly. The line manager drafts the specific responsibilities and sends them to his/her line manager for approval. 

Proper record keeping of recruitment files  To maintain and ensure HR Database are updated and information related to staff are collected properly on time  To ensure the CVs are received and put in a folder properly and handed over to the relevant section head for short listing and further process. Conduct reference checks for job candidates Carries out Admin-related operational/control tasks as assigned from the HR/Admin officer   Assisting staff in the area of flight bookings  Provides translation of documents when needed  Maintain an appropriate filing for HR retrieval and archiving system for the office administration section Competencies

Competencies are important in order for the employee and the organisation to deliver desired 

results. They are relevant for all staff and are divided into the following two categories: 

Professional competencies 

These are skills, knowledge and experience that are important for effective performance. 

Generic professional competencies: 

A Bachelor's degree or equivalent in Human Resources, Business, Law, Organization 

Development or related field. 

A minimum of 2 years of progressive in Human Resources positions. 

Excellent organizational skills (oral and written) and the ability to excel at details, multi

tasking and working under pressure.   

knowledge of English 

 

Context/ Specific skills, knowledge and experience: 

Good communication skills both oral and written  Knowledge of office work such as checking attendance, photo copying, answering to phone calls, etc…  Must have some experience and skilled in the use of software programs such as MS Word, PowerPoint, HR Software for daily attendance, and Excel
