Generic responsibilities

  1. Adhere to NRC policies and procedures
  2. Assist with the implementation of the support function portfolio according to plan of action
  3. Prepare and develop status reports as required by management
  4. Ensure proper filing of documents
  5. Promote and share ideas for improvement of the support function
  6. Ensure that the NRC office is in compliance with all administrative legal requirements i.e. taxes, government registrations and licenses in the area of operation

     

    Specific responsibilities

    Administration

  7. Welcome visitors to the NRC office, and direct them accordingly
  8. Ensure order and cleanliness of the office/guesthouse area
  9. Supervise the day to day work of the cleaners and cooks
  10. File administrative documents according to procedures
  11. Ensure that utility bills (e.g. electricity, water, phone) are paid on time
  12. Oversee the maintenance and cleanliness in all office interiors and advise the cleaners accordingly.
  13. Assist in any administrative matters: filing, typing, updating of phone lists, keeping adequate stationery supplies for office consumption.
  14. Assist in maintaining inventory of office equipment, furniture and fittings
  15. Arrange for internal/external conferences and workshops
  16. Ensure order and cleanliness of the offices and accommodation facilities including arranging for general maintenance as needed.
  17. Arrange for staff flight bookings, transport, and accommodations in coordination with other NRC offices.
  18. Receive and reconcile all flight and accommodation invoices for payment processing
  19. Maintain an appropriate filing, retrieval and archiving system for the office administration section
  20. Fulfil any other related duties as instructed.

    Human Resources

  21. Help HR Coordinator in the maintenance of an effective, efficient and up to date staff records and filing system including contracts, leave, medical, archiving, etc.
  22. Coordinate clearance of staff separating from the organization including exit interviews
  23. Ensure maintenance of an effective, efficient and up to date staff records and filing system including contracts, leave, timesheet, medical, awards, discipline, online archiving, etc
  24. Plan, track and advise on the staff performance management and appraisal calendar and content
  25. Ensure HR audit findings and recommendations are implemented
  26. Any other tasks assigned by line manage
