Role Purpose:

You will assist in the day to day activities of the Grants and Partnership team related to management of grants, program reporting and proposal development. You will support in programmatic and budgetary monitoring, adherence with donors and internal SEMA rules and regulations. You will support the collection of data and reports from program teams, tracking program progress and support in internal and external communication related activities. You also will work closely with the program teams and will report to Grants Coordinator.

Main Duties and Responsibilities:

  • Compiles and develops concept notes and proposals in cooperation with all concerned departments.
  • Checks the agreements and PALs sent by donors, and prepare the agreements with the sub-grantees.
  • Compiles and develops narrative and progress reports in coordination with all concerned departments and reflect the project progress inputs into the donor reporting templates.
  • Assist in donor reporting processes through the coordination and drafting of high-quality donor reports (Bi-weekly, monthly, quarterly, interim, annual and final), ensuring compliance with SEMA and donor requirements
  • Provide dedicated support to the development of concept notes, proposals and situation analyses – coordinating the development process with all relevant departments, including designing logical frameworks, setting realistic and measurable targets, and developing narrative proposals.
  • Organize and facilitate planning meetings/kick-off for new projects and be responsible for the special award conditions.
  • Acts as focal point with donors and sub-grantee, in addition to following up of all correspondence.
  • Be responsible for the submission of projects on Online Projects System and Financial Tracking System.
  • Ensure comprehensive grant files are maintained up to date and are available for use.
  • Be Responsible for preparing, compiling and develop the due diligence required by the donors and for the sub-grantees (partners).
  • Provide support to Grants Department in the organization of donors’ visits.
  • Support the development of strategic communication materials, such as sector profiles, impact reports, program briefings, leadership and positioning pieces and other relevant pieces.
  • Keeps the relevant staff informed about upcoming deadline, and ensures smooth completion of work responsibility throughout the life of award processes.
  • Contribute to the continuous improvement of SEMA’s quality of work.
  • Promote and model a positive, professional and respectful office culture.
  • Any other duties assigned by line manager when required.

Qualification, Experiences and Competencies:

  • A Bachelor degree from a recognized university with at least 2 years of experience in a similar position and duties in NGOs or INGOs
  • Strong Knowledge in key donor reporting rules and regulations e.g. ECHO, UNFPA, DFID, OFDA and other donors, will be a plus.
  • Ability to take initiative and work without supervision.
  • People management skills that include diplomacy
  • Ability to work with diverse people, communities, and cultures, with an understanding of cultural awareness practices.
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, and PowerPoint),
  • Excellent communication skills
  • Unique LSRW skills of both English and Arabic.
