We are looking for a dynamic and motivated Grants Management Officer to support the Operations Team ensure the financial sustainability of the organisation and our compliance and accountability to donors and public authorities.

The Grants Management Officer provides support to the EIP Project Managers to effectively manage and implement project grants with attention to timeliness and quality of delivery.

Duties and responsibilities

Responsibilities include but are not limited to the following:

· Primary point of contact for EIP on grant-related issues;

· Develops, implements systems, and monitoring procedures to ensure proper stewardship of funds;

· Communicates regularly with internal finance department and assists in financial reporting to donors and EIP project partners by verifying their compliance with the approved budget and all contractual stipulations;

· Helping Project Managers in drafting project budget proposals and reports for a wide range of donors (including EU and public donors).

· Preparing contracts for awarded grants for signature by the Executive Director or the Chief Operating Officer;

· Liaising with Programme Managers/Officers regarding narrative reports, and sending consolidated feedback on these reports before they are submitted to the donors;

· Support Project Managers in Coordinating the work (deadlines, assignments, contracts etc.).

· Working with Programme Managers to assist EIP project partners in preparing requests for addenda, including budget revisions;

· Assisting in monitoring budget implementation and developments on grants administration issues;

· Advising staff and project partners on donor regulations and internal EIP procedures;

· Assessing of adhere to internal and donor policy requirements on awards and financial management

· Documents Grant management and financial budget monitoring. Provides regular reports on the work-in-progress to the Chief Operations Officer.

· Help to design and roll out an internal project management training;

· Monitors new funding opportunities, assist in business plan development where applicable.

Profile

· A relevant education in Finance or Business Administration or equivalent;

· At least 3 years of previous grant management experience;

· Knowledge of Belgian legal framework for NGOs and foundations of public interest

· Knowledge of EU grant procedures and rules

· Experience working for an NGO or non-profit organisation is a plus;

· Detail-oriented, organised, rigorous, insistent on accuracy, proactive and flexible;

· Team player in an international environment;

· An experienced user of Excel and of grant management methodologies and tools

· Proficient in English. Any other EU language is a plus.

EIP offers

· 1-year contract, renewable;

· Salary based on 13.92 months;

· Benefits package which includes luncheon vouchers, Hospital insurance, pension plan, and contribution to transportation; and

· 40h/week including 12 RTT days per year
