The International Water Management Institute (IWMI) hosts the International Crops Research Institute for the Semi-Arid Tropics (ICRISAT) in Accra, Ghana. IWMI seeks applications for the position of Executive Assistant to support the implementation of the ICRISAT-led SERVIR West Africa Phase 2 project activities. The Executive Assistant will report directly to the SERVIR West Africa Chief of Party (COP), who is posted at IWMI.

The primary responsibility of the Executive Assistant is to support the COP, and also provide support to the program management unit (PMU) (as instructed) to ensure that activity goals and objectives are accomplished, and operations run efficiently. The candidate will maintain and refine internal processes that support the program management unit, and coordinate internal and external resources to expedite the workflow; manage communication between key program personnel, consortium members and other partners, and liaise with internal and external personnel on various projects and tasks; and plan and orchestrate work to ensure the COP\u2019s priorities are met, organizational goals are achieved, and best practices are upheld.


Duties AND Responsibilities:

Manage professional and personal scheduling for COP, including agendas, mail, calls, travel arrangements, contact management, and other program logistics Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to the PMU Manage, coordinate, and arrange COP travel and travel-related activities, including hotel booking, transportation, and meal coordination Perform administrative and office support, such as drafting documents, spreadsheet creation, and maintenance of filing system and contact database Maintain professionalism and exercise discretion when interfacing with the partners Organize team communications and plan events, both internally and offsite

Requirements

MINIMUM EDUCATIONAL QUALIFICATIONS AND EXPERIENCE

4 years\u2019 experience in administrative role reporting directly to upper management Experience overseeing budgets and expenses Experience developing internal processes and filing systems French fluency is an added advantage

KNOWLEDGE, SKILLS, AND ABILITIES:

Superb written and verbal communication skills Excellent English and preferably, strong French fluency Strong time-management skills and the ability to organize and coordinate multiple projects at once Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge Ability to keep company confidences
