Meeting Targets and Maintaining Epidemic Control (EpiC), a five-year global project funded by the U.S. Agency for International Development (USAID), is dedicated to achieving and maintaining HIV epidemic control and preventing, preparing for, responding to, and bolstering health systems to address COVID-19. While originally designed as a HIV program, EpiC has been modified to accept COVID-19 funding and Monkeypox funding and is currently implementing activities in over 50 countries. We are currently seeking qualified candidates for the position of Program Assistant as part of our headquarters (HQ) team. This is a remote position but being located in the Washington, DC metro area is preferred.

Job Summary/Responsibilities:

The Program Assistant is primarily responsible for providing logistical, programmatic, operations, and administrative support to the project. They will work with select country teams and HQ staff to ensure the smooth set up, implementation and operation of country programs, and ensure ongoing monitoring and reporting on country programs. They prepare documents and reports, compile records, organize, and maintain files, post information, and assist others. The Program Assistant collects and verifies data, summarizes, and reconciles information, and coordinates and maintains records management.

Accountabilities:

  • Assists program staff with requests from regional and country offices and other staff members.
  • Coordinates technical visits, travel authorizations, expense reports, payments, and contract agreements to support implementation of country programs.
  • Supports in copyediting quarterly/semi-annual reports and schedules quarterly report calls.
  • Supports the country team by assisting with subaward modifications and tracking spending against obligations.
  • Schedules and attends routine country calls, takes notes, and follows up on action items.
  • Maintains databases and trackers, shared internal files, and data integrity and security according to quality standards and company policy.
  • Performs day-to–day routine tasks independently with own initiative.
  • Prepares documents, reports and briefing materials for consultants, staff, and donors.
  • Assists in the orientation/training of new administrative/support staff.
  • Performs entry level technical program related tasks, such as reviewing workplans.
  • Ensures documentation and reports are tracked regularly and adhere to country and regional standards.
  • Performs other related duties as assigned.

        Education

        • Minimum of an Associate’s Degree (or its International Equivalent) in Knowledge/Information Services, Communications, Education, Health, Behavioral, Life/Social Sciences International Development, Human Development or Related Field; Bachelor’s Degree preferred.
