IFC’s Resident Mission in China is recruiting an ETT to assist in the country activities. The ETT will ensure/maintain steady office and manage overall office (facilities, supplies, etc) maintenance. He/she will also be responsible to keep a tab on visiting missions in the country and will be the point of person for protocol and administrative clearances. The ETT will report to the Office Administrator who will provide supervision and guidance.
Roles and Responsibilities
• Support office administration of overall office management and operations which include front desk, drivers, kitchen, cleaning, utilities, and office correspondences etc.• Process the procurement of general office services (supplies, facilities maintenance etc.) and negotiating contracts with vendors and suppliers.• Process necessary government clearance licenses, inspections, registrations, and insurance to strictly abide by the law and regulation of the country. • Assist visiting missions from headquarters or other country offices with their appraisal, promotion, supervision, and other types of trips in China, including coordinate their itineraries, meeting appointments, travel logistics etc., and act as interpreter when needed.• Process visa invitation letters and facilitate critical visa issues; Work as focal point to explain IFC visa status to the embassies.• Issue Access Cards to eligible staff, consultants and visitors and keep an updated record in the system.• Coordinate high-level visits, local conferences, and events, as required.• Act as backup of Security Focal Point; liaison with other gov/UN agencies; maintain and update internal guidelines and reports and attend security training as required.• Provide full administrative support to staff including organizing their schedules and trips, arranging appointments, answering phone calls, responding to routine inquiries for information as required.• Prepare, draft and translate memos, letters, faxes and reports etc. in English and Chinese, for internal use and to government or clients, and ensure correct IFC formats and guidelines are followed.• Work with other administrative staff on office administrative/logistic tasks, and back up other administrative staff as required.• Other tasks assigned by office administrator.

Selection Criteria

• Bachelor’s degree with at least 2 years work experience in a relevant position.• Strong English and Chinese language skills (verbal and written), including ability to draft a variety of documents.• Good team player with ability to interact tactfully and effectively with staff at all levels.• Intermediate knowledge of personal computers and ability to use standard computer applications suite (e.g., MS Office).• Willingness to seek assistance from supervisor(s)/colleagues and learn from them.• Ability to deal accurately and complete tasks every day according to specific standards.• Ability to follow through on work priorities and respond creatively to client requests.• Demonstrated interpersonal skills, initiative, resourcefulness, effective time management, organizational skills, and ability to handle confidential information.• Ability to retrieve reference materials from various sources (e.g., databases or other filing systems, Internet, etc.).• Ability to produce high-quality work under pressure.

Note: The selected candidate will be offered a one-year appointment, renewable for an additional one year, at the discretion of the World Bank Group, and subject to a lifetime maximum ET Appointment of two years. If an ET appointment ends before a full year, it is considered as a full year toward the lifetime maximum. Former and current ET staff who have completed all or any portion of their second-year ET appointment are not eligible for future ET appointments.
