POSITION

The Distribution Coordinator manages our distribution system and maintains our various warehouse spaces. They are responsible for maintaining accurate stock numbers and creating stock projections for upcoming months. They will work alongside the Project Coordinator and Donations Coordinator to ensure our stock can best meet the needs of people along the Serbian northern border.

JOB PURPOSE

Collective Aid in Subotica supports the most people of any of our projects. We provide non-food items, food items, WASH and other services in several locations in Northern Serbia. The North Serbian border is a key part of the journey for many people on their way to the European Union, and there is a persistent need for all the services we provide in the region.

The Distributions Coordinator works directly with the Project Coordinator and Donations Coordinator to ensure that we have adequate stock to serve the needs of this population. The Distributions Coordinator must develop the most efficient methods to meet needs in a sustainable and responsible way.

Part of the role is to be in contact, when possible, with local organisations and businesses to foster a good flow of NFI donations coming from the local community. The Distributions Coordinator is also responsible for monitoring the M&E system (data analysis) which helps understand stock numbers, demographics, need, and current situation on the ground in a more analytical way. The Distributions Coordinator is the project level monitor of M&E and works with the Strategy and Impact manager to formulate informed strategies and produce measurable outcomes.

RESPONSIBILITIES AND EXPECTATIONS

The Distributions Coordinator spends three to four days in the field and one to two days in the office every week.

  • Track stock numbers and create projections for upcoming months
  • Monitor and respond to incidents on the ground or in the field with the project coordinator
  • Set new distribution strategies in response to the changing situation on the ground
  • Train new shift lead
  • Moderate regular discussions with the team about improvements to the distribution model to improve impact, mitigate risk and promote accessibility
  • Manage distribution teams
  • Manage the distribution logistics ( orders, distribution wh stocks…)
  • Manage the vehicle's logistics (going to the mechanic, checking insurance…)
  • Leading and organising the distribution wh
  • Implement and monitor the distribution related data
  • Maintain spreadsheets, policies and information documents with the project coordinator
  • Work with the Donations Coordinator to prepare warehouse stock for upcoming months seasonally
  • Promote Collective Aid’s services among the local community in order to ensure a good inflow of NFI donations at a local scale
  • Keep track of data analysis for our M&E system

CONDITIONS

-Minimum stay: 6 months

-Stipend: 300€/month

-Accommodation in coordinators house, shared room with another coordinator.

-One meal a day provided.
