Position Title: Director of Gift Administration

Reports to: Managing Director of Development

General Overview

The Director of Gift Administration oversees all gift processing activities for every revenue stream across the External Engagement Cluster (EEC) at Partners In Health (PIH). The Director is responsible for leading the gift administration team in a complex, high volume environment handling 250,000+ transactions and 80,000+ unique donor records annually. The Director works closely with team members, key stakeholders, and vendors to uphold data quality and consistent workflow and processes, initiate projects to improve internal operations, and facilitate timely reconciliation and closings. The Director serves as the primary point of contact for the Finance team, assuring the accuracy and timeliness of shared data. The Director supervises all members of the gift administration team.

Duties and Responsibilities

  • Leads the team of specialized staff in developing strategies focused on optimizing and expediting the processes related to gift processing.
  • Oversees data flow from the donor database to the financial system to ensure revenue reconciliation and the timely and accurate generation of fundraising progress reports. Also oversees the integration of the online database with the in-house donor database.
  • Serves as the main point of contact for directors/managers within the EEC to troubleshoot issues related to gift processing.
    • Oversees team processing more than 250,000 transactions annually and all related operational activities, including donor acknowledgment, database management and data synchronization, ensuring that work is carried out in a timely and high-quality manner.
    • Manages vendor relationships with the lockbox company that provides a variety of services, including processing PIH’s contributions and updating donor data. Manages account setup for contributions handled by 3rd party “indirect giving vehicles”.
    • Works closely with the Managing Director of Development to ensure strategic and effective collaboration with all fundraising teams. Collaborates likewise with the Finance and IT teams. Ensures integration with finance systems and observance of relevant protocols.

      Qualifications and Expectations

      • Bachelor’s degree required and minimum of 7-10 years of gift processing oversight or related technical team management experience required.
      • Solid computer skills in a PC environment with the capability to master new software applications and technologies in database management. Excellent skills in the functional use of Microsoft Excel, Outlook, and Word. Knowledge of Raiser’s Edge or donor customer relationship management system highly preferred.
      • Must model professionalism, confidence, honesty and reliability. Must have an even disposition and the ability to deal effectively with people from different backgrounds, with varying experience levels. Must demonstrate the capacity to evaluate problems accurately, using data, and strategically explore solutions.
      • This position requires good judgment along with the ability to handle confidential materials with discretion. The Director must be goal-oriented, organized, effective at managing complex processes, and demonstrate attention to detail.
      • Demonstrated knowledge of laws and professional standards that govern the recording, receipting, and reporting of charitable gifts, such as Internal Revenue Service and Financial Accounting Standards Board guidelines.
      • Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and countries.
