CDS Chief of Party requires an Executive Assistant to manage the Chief of Party’s office and provide an efficient and responsible administrative, organisational, and logistical service. The successful candidate will provide high level support to the Chief of Party and manage the administrative coordination and resolution of day-to-day operational processes in the office of the Chief of Party and between the Chief of Party, all CDS components and other FHI 360 projects.

JOB SUMMARY/Responsibilities
Under the supervision of the Chief of Party, the Executive Assistant will be responsible for providing administrative support and clerical services, guaranteeing that the office of the Chief of Party, all CDS components and other FHI 360 projects.

Key Responsibility Areas:

  • Provide day to day professional, confidential administrative and research support to the Chief of Party
  • Monitor the development and updating of project dashboards, trackers and templates required for staff and client meetings
  • Coordinate and consolidate monthly staff work plans
  • Collect and submit for review staff monthly reports
  • Manage the Chief of Party documents approval system
  • Provide support in developing power point presentations
  • Organize and maintain the diary of the Chief of Party
  • Develop SOP as and when necessary for activities in the office of the Chief of Party
  • Schedule and coordinate project meetings, events and other similar events including minute taking
  • Develop and maintain project record keeping, contact lists and reference resources
  • Arrange travel and accommodation arrangements and logistics for the Chief of Party and submit TER trip reports
  • Conduct desktop research as and when required
  • Assist in production and delivery of quality documents, eg: updates, input into CDS quarterly and annual reports.
  • Support procurement of goods for the Chief of Party working with Procurement and Logistics Officer

  • Assist in the preparation of business correspondence and other communication internally and external (often using word processing, spread sheets and presentation software)

  • Coordinate CDS teambuilding initiatives

  • Undertake any other duties as assigned by the Chief of Party

  • QUALIFICATIONS

  • Minimum of 5 years’ experience in an administrative role

  • Completed Grade 12 (Diploma in office Admin or relevant qualification will be an advantage)

  • High level computer literacy in Microsoft Word, Excel, Power Point, outlook and Publisher, internet and typing

  • Must be fluent in English and be able to communicate effectively in at least one local language

  • Experience working in a non-government organisational environment

  • High energy, self-motivated, independent worker who is highly organized, results oriented and deadline driven

  • Should be in a possession of a valid South African Driver’s license

  • Friendly, professional mannerism in dealing with the public both face to face and telephonically

  • Accuracy and confidentiality

  • Creative and flexible approach to work, and ability to work well independently and within a team
