becoming a critical member of the Award Management Team, the Award Management Associate will play a vital role in negotiating, administering, and modifying various types of awards, executed directly from the US Office (Washington DC and New York). This will include USG assistance and acquisition Awards, US-Based Institution Awards as well as all Research Awards. He/She/They will facilitate securing funding and award management of services, equipment, supplies, materials, and other needs for projects. The Associate is directly involved in Action Against Hunger – USA awards throughout their entire award life-cycle, from pre-award to close-out, focused on ensuring congruence with project terms and conditions, regulatory compliance, mitigation of business risk, and adherence to Action Against Hunger policies and procedures. This position reports directly to the Award Management Team Leader for the Global Awards portfolio.

You will be support (1) the Impact and Resource Mobilization Department through various functions including departmental strategic initiatives, communications with donors, working in close partnership with the Business Development, Technical, Research and Advocacy Teams and (2) The Award Management global team through administrative tasks, communications/visibility development, and general support on award activities. The Associate will be responsible for ensuring:

KEY ACTIVITIES IN YOUR ROLE WILL INCLUDE

Donor Reporting

  • Facilitating communication and ensure timely, accurate reporting to donors;
  • Reviewing interim and final donor reports (including but not limited to Standard Form 425 for U.S. Government awards) for assigned grants and contracts for which Action Against Hunger USA is prime or sub-recipient of funds;

Securing Public and Private Resource Development

  • Support country-specific proposal development as requested in regard to US government and US-based institution opportunities. Provide feedback to Country Offices and relevant stakeholders; incorporate reviewer feedback into proposal documents;
  • Participate in meetings on new/upcoming opportunities; take note notes and track progress as to keep the Award Management Team aware of potential award activities

Monitoring and Managing Award Portfolio

  • Working collaboratively with Country Offices, Action Against Hunger US offices, other network members, and relevant partners and sub-recipients. Serve as main point of contact on assigned awards for Country Offices and Action Against Hunger US stakeholders (i.e., TA providers, program officers, other Business Teams, Finance, Grants and Contracts, HR, etc.);
  • Work with Senior Award Management Officers on routine award management, including grant/contract reports, requests for modifications, execute appropriate follow-up and alter program staff to unresolved challenges;
  • Acting as key point of contact (as needed) for donor on resources provided to Action Against Hunger and ensure timely and effective communications to donors on matters related to their resources;
  • Ensuring all donor communications, requests, amendments, etc. are communicated effectively and quickly to the relevant Country and Action Against Hunger US offices and recorded/stored for future reference;
  • Supporting Action Against Hunger USA to maintain knowledge management systems, ensuring award files are kept up to date in consistent manner to support backstopping and handover

P**artnering**

  • Supporting the development of and manage sub-award agreements to Country Offices, Action Against Hunger US offices, other network members or partners as needed, including wire transfers and ad hoc support;
  • Assuring compliance with Action Against Hunger USA’s sub-recipient monitoring policies

    DO YOU MEET THE PROFILE REQUIRED CRITERIA?

    • Bachelor’s Degree is a must. Master’s degree preferred. Either focused on international relations, humanitarian / development work, public administration in non-profit.
    • One to three years of experience as a humanitarian generalist or similar experience preferred.
    • One to three years of experience with USG or other public sector award management.

    Skills & Experience: * Familiarity with USG grants and contracts process. This includes USAID’s direct procurement in accordance with ADS 302, the Federal Acquisition Regulation (FAR), and USAID’s supplement to the FAR, and the USAID Acquisition Regulation (AIDAR). This will also include USAID executed assistance in accordance with ADS 303, 2 CFR 200, and 2 CFR 700 and when necessary to implement timely changes prior to a formal amendment of AIDAR, USAID’s use of the Procurement/Assistance Executive issues Acquisition and Assistance Policy Directives (AAPDs). * Demonstrated experience and/or personal commitment to promoting gender equality within the humanitarian and/or development work. * Genuine interest in and commitment to the humanitarian principles of Action Against Hunger. * Strong organizational skills, extremely detail-oriented. * Excellent written and verbal communication skills are a must. Experience communicating in different cultural work environments preferred. * Ability to work both independently and as a flexible and supportive member of a team. * Ability to work in a fast-paced environment, respect and enforce deadlines, take initiative, and prioritize multiple work assignments simultaneously. * Excellent interpersonal skills. * Previous experience with SharePoint preferred. * Must be authorized to work in the US if not US citizen. * Fluent written and spoken English is required, French and Spanish fluency is appreciated.
