Sous la supervision directe du Représentant Résident, l’Associée Exécutive du Représentant Résident assure l’efficacité et le fonctionnement effectif du bureau du Représentant Résident, la pleine confidentialité dans tous les aspects liés à leurs fonctions, le maintien des procédures protocolaires, la gestion de l’information effective et le suivi des délais et engagements pris.
L’Associée Exécutive supervise le secrétariat et tout le personnel d’appui du bureau. L’Associée Exécutive du Représentant Résident travaille en étroite collaboration avec le personnel du PNUD, des Agences du Système des Nations Unies et des institutions nationales afin de s’assurer de la transmission effective de l’information, les actions des instructions, les agendas. Duties and Responsibilities Assure le fonctionnement efficace du bureau du Représentant Résident en se focalisant sur les résultats suivants:
Maintien des calendriers des superviseurs, contacts avec les visiteurs de haut rang, arrangement des rendez-vous et des réunions, être interprète si nécessaire et/ou prendre le compte rendu. Maintien des procédures protocolaires. Préparation du matériel pour les briefings de haute qualité pour les rendez-vous des superviseurs, réunions, missions. Préparation des interprétations informelles. Gestion des missions du Représentant Résident et son élaboration. Maintien du roster des partenaires de haut rang, les listes téléphoniques. Préparation des correspondances, commentaires au nom du Représentant Résident pour leurs signatures et faire le suivi si nécessaire. Emploi de la gestion du système pour le fonctionnement effectif des bureaux du Représentant Résident.Assure l’appui effectif de la communication au bureau en se focalisant sur les résultats suivants :
Maintenance du système de classement en s’assurant du bon maintien des matériels confidentiels. Coordination du flux de l’information dans le bureau, suivi de la circulation des dossiers. Faciliter du partage de l’information entre l’Equipe Pays et l’Unité de la Coordination. Suivi des délais, engagements pris, actions prises et coordination et transmission des rapports au Représentant Résident. Scanner toutes les correspondances arrivées. Presentation of proposals to eliminate communication bottlenecks in the office and streamline office procedures between the supervisor’s office and subordinate division. Facilite l’apprentissage et le partage des connaissances et la gestion en se focalisant sur l’accomplissement des résultats suivants : Contributions substantive dans le réseau de connaissances et communication des pratiques.
