Chemonics seeks a Facilities Project Assistant to join its Global Health Supply Chain Office (GHSCO) in the Operations, Finance, and Compliance (OFC) Division located in Arlington, VA. The assistant supports the overall delivery of various projects from the planning stages, to release and implementation stages. The assistant supports project team members and stakeholders to ensure success of each project. While the assistant may support a variety of projects, the main focus will be the ChemYards project. Responsibilities include:
Assist the project manager in keeping project milestones, tasks, and schedule on track
Support project teams and initiative leaders to develop/implement actionable project plans
Track activities and tasks against defined timeframes and constraints in coordination with project team members, and communicates status to project team members
Coordinate 7-8 project workstreams (comprised of 6-12 members each), ensuring respective activities are on track and facilitating communications
Assist with note-taking, metrics, and reports
Schedule project meetings, develops agendas, and coordinates resulting notes and action items
Support knowledge management efforts as assigned, by developing presentation content, one-pagers, website content, and other innovations for internal audiences
Create, maintain, and update project documentation and keeps online and hardcopy project files up-to-date
Support change management efforts as needed
Champion and adhere to project management industry standards and Chemonics’ best practices
Undertake assignments on projects or special initiatives as appropriate, and assumes leadership opportunities to run project meetings and discussions
Proactively communicates and liaises with other departments, units, and individuals on joint planning and activities
Participate in activities to build a strong knowledge culture by sharing best practices and important innovations through practice networks and knowledge management systems
Perform other duties and responsibilities as required
Qualifications:
Bachelor’s degree or equivalent combination of education and related work experience required
Minimum one year of relevant work experience
Solid project management skills preferred
Experience in Microsoft Project preferred
Demonstrated ability to communicate clearly and concisely, both verbally and in writing
Ability to work both independently and as part of a team
Demonstrated leadership, versatility, and integrity
