To ensure that effective WHO country presence is established to implement WHO country cooperation strategies that are aligned with Member State's health and development agendas, and harmonized with the United Nations country teams.

DESCRIPTION OF DUTIES

  • In close coordination with the administration unit, establish and maintain records system of file movements within the office; maintain office circulation and reading files and prepare correspondences and reports related to registry activities.
  • Attend to the telephone calls and screen them before transferring to the relevant person.
  • Receive the visitors and screen before allowing access to the office/staff.
  • Provide photocopies of material from the registry files, as requested by staff. Assist in the collection of reference and background material from registry files.
  • Register and maintain chrono files for outgoing/incoming correspondences.
  • Assist in collection of mail from Post Office mail box, and pigeon holes in Ministry of Foreign Affairs as well as from the office of UN Resident Coordinator Office.
  • Coordinate with the security guards of the Ministry of Health for screening visitors.
  • During meeting, workshops, seminars and other, to provide assistance and backup to colleagues in the office.
  • Assist the Team Leader in maintaining and updating the contact database for relevant ministries, agencies diplomatic corps.
  • Take charge of photocopying and fax machines and in coordination with ICT Assistant, ensure that maintaining of central telephone, fax machines as other individual phone sets are in good working order.

REQUIRED QUALIFICATIONS

Education

Essential: Completion of secondary school education.

Desirable: Experience

Essential: At least 2 years of clerical experience in an administrative/office environment.

Desirable: Relevant work experience with UN

Skills

Good knowledge of office procedures

Demonstrate skill in operating telephone switchboard

Knowledge in screening of visitors and mails

Ability to sustain good working relations with colleagues, staff and others.

REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at USD 15,428 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
