We are currently seeking qualified candidates for the position of Administrative Associates for Infectious Disease Detection and Surveillance – IDDS Project.

Infectious Disease Detection and Surveillance (IDDS) is a five-year USAID-funded project with the following overall objectives: (1) Improve the detection of diseases of public health importance and identification of antimicrobial resistance (AMR) in priority infectious diseases through an accessible, accurate, adaptable, timely, and integrated diagnostic network system; (2) Improve the quality of real-time surveillance systems for pathogens of greatest public health concern, including AMR and zoonotic diseases, and; (3) Generate evidence-based guidance and innovative solutions to strengthen in-country diagnostic networks and surveillance systems.

Under the supervision of Finance Manager, the administrative associates will be responsible for assisting in giving administrative, logistic, financial reporting, procurement and operations support to IDDS project and team member in Yangon.

OVERALL RESPONSIBILITIES

  • Assisting supervisor in ensuring of IDDS Program operation runs smoothly
  • Assist in logistic arrangement such as travel arrangement, hotel reservations for staff, consultants, and visitors, and maintaining data on hotels in Myanmar for future reference.
  • Assist to IDDS related administrative management, procurement, operations and other necessary support to the team.
  • Maintaining and updating records of IDDS administrative documents, for example, project expenses record, consultant contracts, office services contracts, visa or other government registration requirements for expats, etc.;
  • Handling logistic arrangement related to internal/external meetings, training workshops and comparable events, including securing venues, making room bookings and clearing hotel expenses, reserving flights, assisting with visa applications, and purchasing supplies.
  • Assist in cash advance, settlement of travel, meeting packages as per FHI360 and USAID policies and procedures.
  • Assist to IDDS team member in procuring of IEC materials, quality check and necessary support by working together with team.
  • Serve as liaison between IDDS Program team member and relevant departments to ensure efficient organization of Project activities and events.
  • Assist in entering of expenses in GFAS system and make sure all the expenses are record as per procedures with compliance manner.
  • Undertaking such other activities as are assigned by supervisor.

    WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:

    Usual office working conditions in Yangon. Ability to travel within Myanmar including within non-state and border regions.

    Minimum requirement

    • A Bachelor’s degree in a relevant field;
    • At least three years’ experience of administration and logistical support;
    • Good communication and coordination skills;
    • The ability to handle multiple tasks and demanding schedules and to deliver high quality results on time;
    • Proficient in English and Myanmar.
    • Have experience of working with international or local NGOs (non-governmental organizations);
    • Cross-cultural sensitivity;
    • Fully competent in Microsoft Office package, particularly MS Word, Excel and Power Point;
    • Ability to work independently with minimal supervision
