JOB BRIEF
The U.S. Institute of Peace seeks to hire an entry-level professional who will support the Sudan Demonstration Project and the Africa Center’s programming in Sudan. The Administrative Assistant’s portfolio will be comprised of administrative, logistical, and operational support, basic program coordination, basic research and writing, and other duties as they arise. The Administrative Assistant should be highly organized and able to work with a diverse team, including across cultures and with USIP staff visiting Sudan. The Administrative Assistant will have the ability to learn and navigate USIP’s various systems including program and contract management. S/he should also have some background in public or private sector administration and/or office management. The Administrative Assistant will support the Office and Finance Coordinator and other Khartoum-based Sudan Demonstration Project staff.
This position is based in Khartoum, Sudan.

RESPONSIBILITIES
Administrative / Programmatic Support:
• Assists the Program Coordinator in establishing administrative policies and procedures to ensure effective operations of the Sudan Demonstration Project field presence and other aspects of USIP Sudan programs as requested.
• Responds to questions regarding general administrative procedures and standards.
• Maintains and monitors program files, document management systems, and contacts.
• Provides support to Khartoum-based and Washington, DC-based staff on program reporting for the Sudan Demonstration Project.
• Provides substantive and administrative support for meetings for the Sudan Demonstration Project.
Procurement / Finance / Travel / Budget
• Supports Khartoum- and Washington, DC-based staff with maintaining financial systems, budgets, and databases and coordinates the resolution of any problems with USIP finance staff.
• Provides contract management support activities, including drafting initial contract proposal language, completing USIP contract templates, processing invoices, and monitoring payments. Coordinates the resolution of any problems with USIP procurement staff.
• Makes domestic and international travel arrangements for Sudan-based Demonstration Project staff by obtaining and coordinating travel schedules, reserving overnight accommodations and transportation modes, and by obtaining and delivering tickets to the traveler. Responds to phone inquiries and answers questions from travelers regarding logistical items. Makes changes and adjustments in travel and accommodation as requested.
Performs Other Duties as Assigned.

QUALIFICATIONS
• Bachelor’s degree required, preferably with a focus on administration, business, finance, or management sciences.
• One (1) or more years of related business or administrative experience with general personnel practices, accounting, and budgeting principles, and/or coordination of major office activities required.
• Basic knowledge of program management processes, especially project planning and budgets.
• Strong skills in the Microsoft Office Suite, particularly Word, Outlook, and Excel required.
• Strong time management skills with the ability to prioritize work and meet deadlines.
• Excellent writing skills and verbal communications skills.
• Oral and written fluency in English and Arabic required.
• Legal residency in Sudan is required.
