JOB PURPOSE

Due to Flood Emergency, the movement of inventory items as well as new items are transferred very frequently in large quantities. To properly track the items in GEMS the position was requested for PO Sindh. The Administrative Assistant GEMS will be responsible for Entering new items while managing transfers of inventory items in GEMS for Provincial Office Sindh.
This job will be based in Karachi, and the incumbent will report to the Administration Associate / Head of Provincial Office or the designate.

KEY ACCOUNTABILITIES (not all-inclusive)

  • Check the provision of a range of services, including facilities and light vehicle management, travel, protocol related, etc., maintaining information, to contribute to the provision of a safe and comfortable working environment.
  • Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources.
  • Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.
  • Undertake research and perform basic analyses of data, to contribute to the provision of accurate information and effective management of resources.
  • Be the first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues.
  • Capture all newly purchased Items in GEM through POs.
  • Track and transfer all items' movement for PO Sindh.
  • Extract Inventory Reports and reconsile Inventory location-wise for PO Sindh.
  • Initiate any disposals/Donations relating to PO Sindh.
  • Participate in annual Physical count exercise, while assisting in the reconciliation of GEMs.
  • Provide inputs to routine methods and practices in your own area of work, to support the continuous improvement of services provided.
  • Any other task as assigned.

    STANDARD MINIMUM QUALIFICATIONS

    Education: Completion of Secondary School Education. First-level university degree in Business/Public Administration, Economics, or a relevant field is desirable.

    Work Experience:

    • Has demonstrated an ability to perform all routine administrative activities in line with WFP operating standards through day-to-day work.
    • Has supported in providing ad-hoc guidance to new staff members.
    • 5 years of experience in Inventory Management in the SAP environment.

      Knowledge & Skills:

      • SAP/Oracle-based App Usage

      • MS Office, Intermediate Skills

        Language: Fluency in both verbal and written communication in English. Ability to effectively communicate in Urdu.
