About the role

The post holder will provide effective and efficient administrative support for the Programme Development Unit (PDU), the From Violence to Peace Unit and, when possible, the Advocacy and Policy Unit. The role will also be the first point of contact for the public with Christian Aid Ireland through reception and telephone duties (responsibilities shared with the Income Assistant).

The role is based in the Dublin office and reports to the Head of the Programme Development Unit. Support to the PDU and From Violence to Peace Unit will include responsibility for:

  1. Updating PROMISE (internal grant management system).

  2. Data collection systems/data management.

  3. Support to programme monitoring, evaluation, and reporting processes, e.g., administrative support to programme evaluations, support to donor narrative and financial reporting (monitoring deadlines, editing reports, providing feedback), including Irish Aid Annual Report.

  4. Administrative support for institutional funding applications.

  5. Organising and minuting meetings. Facilitating meetings when required.

  6. Monitoring and evaluation support to programme advisor/country teams on Kwantu (outcome harvesting app).

  7. Recording of institutional income and assistance in reconciling income Bank account.

  8. Support to humanitarian funding mechanisms, including Emergency Response Fund Scheme and Irish Emergency Alliance appeals – reviewing narrative and financial proposals and reports, backstopping project monitoring (e.g., facilitating monitoring calls).

  9. Administrative support for the global Irish Aid programme meeting – organising staff travel, visas, accommodation and travel; booking venue; other administrative support as required.

  10. Working with Programme Development and Funding Managers to update programme funding scorecards for Christian Aid Ireland.

  11. General office support and reception duties, office health and safety and fire safety and acts as the office Digital Champion (this applies once Christian Aid Ireland returns to working from an office; responsibilities will be shared with the part-time Income Assistant).

  12. Ad hoc support for PDU and From Violence to Peace Units, and to the Advocacy and Policy Unit, if capacity allows.

About you

Essential

• Educated to leaving cert standard in a relevant discipline.

• High level of computer literacy including knowledge of Office programmes including Word, Outlook, PowerPoint, and Excel. Knowledge of relevant database systems.

• An understanding of and interest in global development issues.

• Experience of working in an office-based environment.

• Experience of using financial and administrative systems, setting up meetings and taking minutes.

• Thorough attention to detail, including accurate data entry skills.

• Experience of working in a rapidly changing environment where flexibility is essential.

• Excellent interpersonal and customer service skills.

• An ability to work co-operatively as a member of an interdisciplinary team.

• An ability to juggle and prioritise competing demands in a calm, professional manner.

• An ability to communicate positively with colleagues by telephone, email and in person/ online platforms.

• A proactive team worker, with a willingness to cover other positions in the unit when required.

Desirable

• Educated to degree level in relevant discipline.

• A demonstrable interest in digital monitoring and evaluation tools in the context of development or humanitarian work.

• Experience working for a non-profit organization.

• Experience using and managing SharePoint pages.

• Written or spoken French, Spanish or Portuguese.
