KEY ACCOUNTABILITIES (not all-inclusive)

Under the direct supervision of Finance Associate, the incumbent will perform the following duties: -

Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources. Update charts and tables utilizing graphic tools, design hard copy and computer resident forms; update and track computer assisted process sign of administrative actions. Gather information with clear direction to support the drafting of documents and preparing reports by other staff. Respond to queries and escalate where appropriate, to provide a timely and accurate service to clients Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function. Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff to support clients to deliver their work. Extract and input data from various sources in administrative, human resource, procurement, logistics and other WFP corporate systems. Make travel arrangement, request travel advances, and prepare travel documentation as required. Provide to all staff on services such as travel, expense claims, document retrieval, inventory, etc; Manage of vehicles operation and support, generator operation, and monthly report. Prepare human resource report such as monthly attendance report and staff leave, check and maintain personnel files for all staff at location, ensuring all documentation is complete and update. Take responsibility for data integrity to facilitate availability of accurate information in corporate systems for creation of PR and PO and act as MPO focal of Field Office Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff Perform other related duties as required

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education or post-secondary certificate in the related functional area are also encouraged to apply.

Experience: Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Knowledge & Skills

Proficient in the use of office equipment and computer software packages, such as Microsoft Word. Has demonstrated an ability to perform all routine administrative activities in line with WFPs operating standards through day to day work. Has supported in providing ad-hoc guidance to new staff member.

Language: Fluency in written and oral communication skills in both English and Myanmar, local dialect and knowledge of local language is an asset.
