Finance:
- Keep up to date manual and electronic records of all cash on a weekly basis
- Make all payments from cash and bank, including salary payments and currency exchanges in a timely manner
- Prepare and send the general administrator monthly accounts reports according to the standard NCCI financial procedures
- Ensure prompt repayment of all advances
- Ensure that all financial procedures carried out comply with NCCI’s financial guidelines.
- Act responsibly with NCCI money and assets, seeking the best prices and rates, and checking contracts and purchase agreements for accuracy, fulfillment, delivery dates, etc
- Organize the weekly cash count with the Iraq Administrator.
- To order and archive all administrative and financial document
Admin:
- Manage Baghdad office in terms of office needs (assets, daily needs)
- Responsible for arranging accommodation for staff/visitors to Baghdad office
- Responsible for issuing official letters with management approval and keeping proper record
- Ensure that visas are renewed on time for NCCI staff, and proceed with all necessary administrative procedures. Provide support to expatriate staff in the process of gaining residency.
- Ensure the cleanliness of the office and gust house
Logistics:
- To obtain quotations and pro forma invoices as per specifications and contract respectfully.
- To maintain current and orderly files of all procurement activities
- To prepare the Baghdad office general inventory, and update it according to the purchase
- To optimize, maintain and protect the equipment
- To ensure the office and guest house is properly running (utilities & maintenance)
- To help organize all activities related to training, preparation of meetings, conferences and workshops (identification of working space, set up of the room, coffee break management, etc.)
- To book hotels and flights form NCCI staff and their training, meeting participation (whenever required).
- To arrange NCCI staff’s and guests’ travels, clearances, etc
To support staff with the rental contracts under NCCI name (office, car, apartment…)
Any other task or duty as requested by NCCI management
Track daily staff attendance and maintain updated leave record(report to HR Office when a staff takes leave or delays.
Qualifications and Required Skills:
- Educated to degree level in Accounting or Business Administration
- Minimum Two years’ experience in a similar role or working with NGOs highly preferred;
- Strong IT skills, advanced knowledge of Microsoft family of products. as well as advanced use of the internet and online resources is required;
- Native speaker of Arabic, with excellent writing and communications skills is required;
- Excellent written and spoken English is required;
